Zotero Review: Free Reference Manager for Research

By 66tools

Citation management is the difference between a bibliography you can defend and one you rebuild the night before submission. Zotero has become the default free answer for students and researchers: it captures sources from the browser, keeps the PDFs, and inserts citations into the document you are writing. This review covers how the current version fits a real writing project, what sync actually costs, and the limits worth knowing.

Zotero Review: Free Reference Manager for Research
Zotero Review: Free Reference Manager for Research — what it does well and where it stops.

What this tool is useful for

Zotero is a free, open-source reference manager, currently at version 9.0.5 (June 2026), available for Windows, macOS and Linux. Its browser connector recognises a book, article or web page and saves the metadata in one click, with the PDF attached where one is available. Inside the application you organise sources into collections and tag them, annotate PDFs with highlights and notes, and search across everything locally. When writing, a plugin for Word, Google Docs or LibreOffice inserts in-text citations and builds the bibliography in more than 10,000 citation styles, switching style at the end with one command. Sync keeps a library consistent across machines, group libraries let teams share a reading list, and the whole thing is built on open formats rather than a vendor’s cloud.

A practical workflow

1. Capture at the moment of reading

Save every source when you first open it — including ones you are unsure about — and put it in the collection for that project. Add a note on why it matters while the reason is still fresh; a list of titles with no context is barely better than a pile of PDFs.

2. Read with annotations, not highlights alone

Highlight in the PDF and add the sentence of interpretation in Zotero’s note pane. When you write, the annotation list becomes an outline with page numbers that survive to the final draft.

3. Cite while you write, fix the style last

Insert citations as you draft rather than pasting plain text, then switch the style once at the end. Keep an eye on the plugin’s field codes when collaborating: a co-author without Zotero will need the citations converted to plain text before editing continues.

Cost and sync limits

The software is free. Synchronising metadata and notes is free, while file storage has a free allowance and then paid plans starting around $20 per year for more space. WebDAV is supported, so an existing cloud account can carry the attachments instead of paying for storage — although many institutions provide space for free.

Who should consider it?

Students writing theses, researchers maintaining a long-term library, journalists and analysts tracking sources, and small teams that need a shared reading list. It is equally useful for anyone who has to produce a referenced document more than once a year, in any discipline.

Limitations to check

There is no native AI layer: no automatic summarisation of a paper and no chat with your library, so those workflows mean exporting to another tool. Storage limits bite if you rely on the hosted sync for large PDF collections, and sync conflicts happen when the same library is edited on two machines at once. Style coverage is excellent but exotic local citation formats still need manual work, and the Word plugin occasionally needs re-registration after office suite updates. Most importantly, a reference manager only helps if you capture sources as you read — no tool fixes a bibliography reconstructed at the last minute.

How to compare alternatives

Commercial managers bundle institutional subscriptions and support but tie your library to a vendor. Browser citation generators are fine for a single reference and hopeless for a thesis. For the annotations themselves, tools such as OCRmyPDF make scanned sources searchable first, and for writing the document itself LibreOffice Writer covers the work without a subscription. To keep the source PDFs themselves under long-term control, a document archive is the complement; for the books on your shelf rather than the papers on your desk, Calibre manages the rest.

Frequently asked questions

Is Zotero free? Yes; the software is free and open source, with paid storage above the free allowance. Does it work with Google Docs and LibreOffice? Yes, alongside Word. Can I use it offline? Yes, the library works locally and syncs when you are back online. Does it summarise papers with AI? Not natively as of 2026; keep your notes in the annotation pane.

Verdict

Zotero is the reference manager to use unless an institution forces something else: free, open, fast to capture with, and strong enough for a doctoral bibliography. Capture sources the moment you read them, annotate with your own words, cite while you write, and the final formatting becomes a one-click step instead of a night’s work.
